Leave Policy for Students at MI Training College, Ponnani (MITC)

Introduction:

Students are expected to attend all scheduled classes and activities to benefit fully from the educational programs offered at MI Training College, Ponnani (MITC). However, there are provisions for leave under specific circumstances, governed by the following policy.

Definitions:

  • Leave: Authorized absence from classes or college activities for valid reasons with prior approval from the competent authority.
  • Holiday: Scheduled non-working days or days declared off by the college administration.

Working Days and Hours:

  • Working Days: Monday to Friday, and Saturdays when classes or other activities are scheduled.
  • Working Hours: 9:30 AM to 4:30 PM.

Attendance Requirements:

  • Attendance Consolidation: Attendance is consolidated for each semester.
  • Academic Session: The beginning and end of any academic session are determined by the University’s schedule.
  • Minimum Required Attendance: To be eligible for university examinations, students must attend at least 85% of all theory classes and 90% of internships.

Types of Leave and Provisions:

  1. Casual Leave (CL):
    • Students are not permitted to be absent without permission.
    • For illness-related absences, students must submit a medical certificate when applying for casual leave.
    • Medical leave must be sanctioned by the Principal.
  2. Duty Leave (DL):
    • As pre-approved by the Principal.
    • Applicable for official duties assigned by the College/University.
    • When students are officially sent for any event conducted at other institutions.
    • The invitation must be routed through the Principal, and a certificate must be submitted in the College office the next day.
  3. Long-Term Leave (including Maternity Leave):
    • Long-term leave, including maternity leave, shall follow university guidelines.
    • Rejoining after maternity leave must comply with university norms.
  4. School Internship:
    • Students during their school internship must follow the working time and schedule of the school.
    • Leave during the internship should be approved by the Mentor and the Principal or any authority assigned by the school.
    • Leave applications must be submitted to the principal/head of the school, and the same can be carried to the college upon completion of the internship.

Conditions for Leave:

  1. Request Submission:
    • Leave applications must be submitted to the Principal through the mentor.
    • Applications should be submitted in advance, except in emergencies.
    • The Principal’s approval is mandatory for all leave requests.
  2. Attendance Compliance:
    • A student must attend at least 85% of all theory classes and course work and 90% of internship sessions to be eligible for examinations.
    • Condonation of attendance shortage is governed by university rules. Students with attendance below the condonable limit will not be eligible for end-semester examinations and will need to repeat the course through re-admission.
  3. Unauthorized Absence:
    • A student absent for 15 consecutive working days without a leave application will be removed from the college rolls.

Special Provisions:

  1. Late Coming:
    • Late coming up to 30 minutes: If found more than two times in a semester, it shall be regarded as a half-day leave.
    • Late coming beyond 30 minutes: Will be taken as half-day leave on the same day.
  2. Earlier Departure:
    • In any emergency case, students may take special permission before leaving the college early.
  3. Movement Out of Campus:
    • When students need to move outside the campus for any purpose, it must be informed in advance to the mentor and marked in the movement register.
  4. Medical Certificates:
    • For sick leave, a medical certificate must be provided if requested by the Principal.
  5. Other Regulations:
    • All leave requests must adhere to university norms and guidelines, ensuring minimal disruption to academic progress.

Approval Process:

  1. Application Routing:
    • All leave applications must be routed through the Principal for approval.
  2. Supporting Documents:
    • Necessary documents (e.g., medical certificates, application forms) must be submitted along with the leave application.
